Case studies

Five shops. Five jobs Ruby took off their plate.

Five contractors, five job functions, running today with measured returns. Each one started as one problem the owner described in plain words.

Albi

Multi-market mitigation

5 markets, Northwest · ~900 claims a year

WIP documentation QA

The problem

One auditor hand-checked every open job five or six times. Once the equipment was pulled, a gap could not be fixed and the carrier cut the bill.

What Ruby does

Audits every open job overnight against the shop's own rules, reading the notes, photos and dry logs. The auditor starts the day with a ranked list and the fix for each gap.

Documentation gaps were costing 5.3 points of margin

63% of 250 closed claims carried a gap; those collected 5 points lower and 13 days later. On $10M of billing, about $500k a year is at stake.

QuickBooks

Mitigation + environmental

Two companies, one owner · ~530 claims a year

Settlement accounting

The problem

Every settlement was keyed into QuickBooks by hand. Ten closed jobs carrying $229k of committed money were never invoiced.

What Ruby does

Each weekday, reads every settled claim, raises the invoice, records the payment and updates the job system. Anything outside the rules goes to a person.

$600 a month against a $75k bookkeeper

Half of one person's job, in the owner's words. Found about $300k collected but never invoiced on day one; invoices now go out the day the carrier commits.

JobNimbus

Multi-state fire + water

Six branches, Mountain West · ~2,200 claims a year

Dispatch decision support

The problem

A job with no scheduled task never reached tomorrow's dispatch map, so it quietly went unworked. A dispatcher checked every board by hand each night.

What Ruby does

Every night, finds the jobs in each branch that will miss tomorrow's dispatch, reads the field notes, and emails the dispatcher a short fix list. A person decides.

$58k a year of dispatcher time, for $7,200 to run

An hour a night per branch. A typical night finds 5 jobs out of 36 that would have missed dispatch.

Xcelerate · Teams

Single-site residential

One site, seven PMs · ~800 claims a year

Daily job status reviews

The problem

The job system showed which jobs were open, not what was happening on them. The owner spent his day chasing supervisors.

What Ruby does

Every weekday at 6am, checks every active job for the paperwork that should have landed, posts one list to leadership and sends each supervisor only their own jobs.

$15k a year of the owner's time, for $1,200 to run

One to two hours a day of chasing, gone. A quiet job now surfaces in three days instead of at invoicing.

Zoho · Encircle

Three-market mitigation

Three markets, Mountain West · ~840 claims a year

Moisture reading gaps

The problem

Missed moisture readings turned up in file review two days after a job closed, when half could no longer be fixed.

What Ruby does

Every night, compares the CRM against the field record for every job still drying, then posts one list per location: rooms with no reading, and rooms falling behind.

Dry-log gaps were collecting 10 points lower

Half of 250 reviewed claims drew a documentation objection; those collected 10 points less and closed 23 days later. About $400k a year across the book.

Run cost is measured usage in Ruby credits, about 10¢ each at list. All five were built with founding customers.
