Privacy Policy

1. Overview

This Privacy Policy explains how Restoration Services Group LLC ("Restoration Services Group LLC", "we", "us", or "our") collects, uses, and shares information when you use RubyRestore.ai and the related websites, applications, and APIs (the "Service"). It also describes the choices you have about your information.

By using the Service, you agree to this Policy. If you do not agree, do not use the Service.

2. Who we are and our role

Restoration Services Group LLC operates the Service and is the controller of the account and usage information described below. For the data we access from your connected integrations on your behalf, including personal information about your customers, property owners, insureds, and employees, you are the controller and we act as your processor or service provider. We process that data on your documented instructions to provide the Service.

3. Information we collect

Account and profile information

When you sign up, we collect your name, email address, your Shop's name and website domain, and a securely hashed password. If you are invited as a teammate, we collect the information needed to set up your account.

Billing information

If you purchase a paid plan, our payment processor (Stripe) collects and processes your payment details. We receive limited billing information such as your billing contact, plan, transaction status, and the last four digits of your card; we do not store full card numbers.

Connected integration data

When you connect a third-party tool, we access and process the data in that tool that is needed to operate the Service for you. Depending on the integration, this can include job and project records, contacts and organizations, documentation and photos, equipment and scheduling data, accounting records such as invoices and bills, and, where you enable an email integration, message content and metadata. This data may include personal information about your customers, property owners, insureds, employees, and other individuals. We store the credentials for these integrations in encrypted form.

AI conversations and workflow outputs

We collect the messages you send to Ruby, the context attached to them, and the outputs Ruby produces, including the artifacts generated by packaged workflows and any persistent preferences (memories) you or your administrators configure for your Shop.

Usage, device, and log data

We collect usage and metering data (for example credit and message counts used for billing), audit records of sensitive actions (such as subscription changes, role changes, and integration connects and disconnects), and standard log data such as IP address, browser and device information, timestamps, and error reports.

Cookies and local storage

We use cookies and similar technologies, including browser local storage, to keep you signed in, remember preferences, secure the Service, and understand usage. See the Cookies section below.

4. How we use information

We use information to:

  • provide, operate, and maintain the Service, including answering your questions and running packaged workflows over your connected data;
  • process the prompts and context needed to generate AI output through our model provider;
  • authenticate users, secure the Service, and prevent fraud and abuse;
  • meter usage and bill for subscriptions and overage;
  • send transactional and service messages (verification, password reset, invites, billing alerts, and digests you enable);
  • provide support and respond to your requests;
  • monitor, troubleshoot, analyze, and improve the Service, including through aggregated and de-identified data; and
  • comply with law and enforce our agreements.

5. How AI processing works

To generate responses and workflow output, the Service sends prompts to a third-party large language model provider. Those prompts can include your messages and relevant portions of your connected integration data. We send only what is needed to produce the requested output.

We do not sell your data, and we do not use Customer Data to train publicly available foundation models. We rely on enterprise terms with our model provider that restrict the provider's use of submitted data to delivering the service to us. AI output can be inaccurate; see the accuracy disclaimer in our Terms of Service.

6. Service providers and subprocessors

We share information with vendors that process it on our behalf to run the Service, under contracts that require appropriate confidentiality and security. Our principal subprocessors are:

We may update this list as the Service evolves. The third-party tools you choose to connect (for example your job-management, documentation, accounting, or email systems) are not our subprocessors; they are independent services you control, and your use of them is governed by your agreement with each provider. 7. Connected integrations and your customers' data

When you connect an integration, you instruct us to access the data in that system. You are responsible for having the right to provide that data and for any notices or consents required for the individuals whose personal information it contains, including your customers, property owners, and insureds.

We process that data only to provide the Service to you and according to your instructions. If an individual whose data is in your connected systems contacts us with a privacy request, we will generally refer them to you as the controller and assist you as reasonably required.

8. How we share information

We share information only as follows:

  • with subprocessors and service providers, as described above, to operate the Service;
  • within your Shop, with the administrators and teammates who have access to your account;
  • when required by law, regulation, legal process, or a governmental request, or to protect the rights, property, or safety of us, our users, or others;
  • in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy continuing to govern the information; and
  • with your consent or at your direction.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

9. Data retention

We retain information for as long as your account is active and as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. After your account is closed, we make Customer Data available for export for a limited period and then delete or de-identify it in the ordinary course, subject to backups and legal retention requirements.

You can request deletion of your account data by contacting us; some records (such as billing and audit records) may be retained as required by law.

10. Security

We use technical and organizational measures designed to protect information, including encryption of integration credentials at rest, scoping of data access by tenant, access controls, and audit logging of sensitive actions. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your password confidential and for managing access within your Shop.

11. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. Administrators can access and update much of their account data directly in the app, including connecting and disconnecting integrations, managing teammates, and configuring spending limits.

To exercise a right, contact us at privacy@rubyrestore.ai. We will respond as required by applicable law and may need to verify your identity. We will not discriminate against you for exercising your rights. For personal information contained in your connected systems, we will direct requests to the relevant Shop, which is the controller of that data.

You can opt out of non-essential emails using the unsubscribe link in those messages; we will still send transactional and service messages necessary to operate your account.

12. Cookies and tracking

We use strictly necessary cookies and browser local storage to authenticate users and operate the Service, and we may use limited analytics to understand usage and improve the product. You can control cookies through your browser settings, but disabling necessary cookies may prevent the Service from working.

13. Children's privacy

The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

14. International data transfers

We operate in the United States, and our service providers may process information there. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States and other countries, which may have data protection laws different from those in your jurisdiction. Where required, we use appropriate safeguards for such transfers.

15. Changes to this Policy

We may update this Policy from time to time. If we make a material change, we will provide notice through the Service or by email before it takes effect and update the date above. Your continued use of the Service after the effective date means you accept the updated Policy.
